BYOK Productivity Apps: What It Is and Why It Matters
BYOK apps let you plug in your own Claude, OpenAI, Gemini or local model key. Learn how it affects cost and privacy, and which productivity apps support it.
BYOK in one paragraph
With a bring your own key app, the AI is not bundled. You create an API key with a provider such as Anthropic (Claude), OpenAI or Google (Gemini), paste it into the app, and the app calls that provider on your behalf. Or you skip cloud entirely and point the app at a model on your own computer.
Why it matters
1. Cost control. Bundled AI is priced as a flat fee. With BYOK you pay per use at the provider's rate, and you can cap spending in the provider's dashboard.
2. Privacy. In a BYOK design requests go from your device to the provider you chose, so the app vendor is not a middleman. With a local model the text never leaves your machine.
3. Choice. New models appear every few months. BYOK lets you switch to a better or cheaper model without waiting for the app to add it.
The trade-offs
- Setup friction. You need an account and a key.
- You are the billing admin. Watch usage.
- Quality varies. A small local model is weaker than a frontier cloud model.
- Support is shared. If the provider is down, so is the AI feature (the rest of the app keeps working).
Which productivity apps support BYOK?
Support is growing but still uncommon among task managers. A few categories:
| Category | Examples | Notes |
|---|---|---|
| Task manager / planner | DonDon | Claude, OpenAI, Gemini, any OpenAI-compatible endpoint, or a local agent on desktop |
| Notes and knowledge tools | Several note apps and editors | Check each app's AI settings |
| Chat front-ends | Many open-source clients | Not task managers, but handy for planning prompts |
Always check the app's own documentation for what is supported today; this changes quickly.
How BYOK works in DonDon
DonDon's AI is off until you enable it. Then you choose:
- Anthropic (Claude), OpenAI or Gemini with your key.
- OpenAI-compatible endpoint: Ollama, LM Studio, OpenRouter, Groq and similar. The default is a local Ollama address.
- Desktop only: local agents such as Claude Code or Cursor Agent.
Then the features available are quick-add, task breakdown, draft refinement, auto-scheduling suggestions, turning notes into tasks, and a weekly review. For the weekly review only numbers and dates are used, never task titles or notes.
DonDon itself costs nothing to start; Premium is $1.99/month or $11.99/year, and AI usage is billed by your provider.
A short checklist before you paste a key
- Create a dedicated key for the app so you can revoke it independently.
- Set a monthly spend limit with the provider.
- Pick a small, fast model for quick-add and a stronger one only where needed.
- Know that on a shared computer a key stored in the browser or app is accessible to anyone using your profile.
How to get a key, step by step
The exact screens change, but the flow is the same with any provider:
- Create an account with the provider (Anthropic, OpenAI or Google AI).
- Add a payment method or credit. Most providers require prepaid credit or a card before the API works.
- Create an API key from the provider's dashboard. Name it after the app (for example "DonDon") so you can revoke it later without breaking other tools.
- Set a spending limit in billing settings. This is the single most important safety step.
- Paste the key into the app's AI settings and choose a model.
- Test with one small request and check the provider's usage page to confirm it was billed as you expect.
If something goes wrong, revoke the key from the dashboard and create a new one. Never paste a key into a chat, a screenshot or a shared document.
Choosing a model for productivity work
You do not need the most powerful model for planning. A rough guide:
| Job | What you need | Typical choice |
|---|---|---|
| Parse a sentence into a task | Fast and cheap | A small, fast model |
| Break a task into steps | Decent reasoning | A small or medium model |
| Build a full schedule with constraints | Stronger reasoning | A medium or large model |
| Weekly summary from numbers | Basic writing | A small model |
Start small. If results disappoint on a specific job, move that job up a tier rather than everything.
What BYOK does and does not protect
It helps with:
- Not routing your text through the app vendor's servers for AI requests.
- Choosing a provider whose data policy you accept.
- Using a local model so text never leaves your device.
It does not mean:
- That the provider sees nothing. A cloud provider still receives what you send it, under its own terms.
- That the app stores nothing. The app's own task data still syncs to its servers like any cloud service.
- That keys are impossible to leak. A key stored on a shared or compromised computer can be stolen. Use a dedicated key with a limit.
Always read the provider's data-retention and training policies before sending sensitive text.
BYOK vs bundled AI: a fair comparison
| Bring your own key | Bundled AI | |
|---|---|---|
| Setup | A few minutes | None |
| Billing | Provider, per use | One subscription |
| Model choice | Yours | Vendor's |
| Privacy route | Device to provider | Via vendor |
| Predictability | Varies with use | Fixed |
| Offline option | Possible with local models | Rare |
Neither is universally better. Bundled AI wins on convenience; BYOK wins on control and, for light use, cost.
Questions to ask any app that claims BYOK
- Where is my key stored, and is it sent to your servers?
- Do AI requests go directly from my device to the provider?
- Which providers and local endpoints are supported?
- Is AI off until I enable it?
- What exactly is included in each request (task titles, notes, only numbers)?
DonDon's answers: keys stay on your device, requests go straight to the provider, several providers and any OpenAI-compatible endpoint are supported, AI is off by default, and the weekly review sends only numbers and dates.

Frequently asked questions
- What does BYOK mean?
- Bring your own key. You create an API key with an AI provider (Anthropic, OpenAI, Google) or run a local model, and the app uses that instead of a bundled AI subscription.
- Is a BYOK app cheaper?
- Often, for light daily use, because you pay per token instead of a flat monthly AI fee. Heavy use on a premium model can cost more, so set a spending limit with your provider.
- Where is my API key stored in DonDon?
- On your device. DonDon does not send your key or your AI requests through its servers; requests go directly from your device to the provider you chose.
