Best AI Task Manager Apps in 2026 (Free and Paid)
What does 'AI task manager' really mean? Compare auto-scheduling, natural-language add and bring-your-own-model in Motion, Reclaim, TickTick and DonDon.
"AI task manager" means four different things
Marketing uses the phrase loosely. Before comparing apps, decide which of these you want:
- Natural-language capture – "Dentist next Tuesday 4pm" becomes a dated task.
- Task breakdown – a vague goal becomes concrete subtasks.
- Auto-scheduling – tasks are placed on your calendar and re-planned when things change.
- Review and insight – a summary of what you finished and where time went.
Comparison by approach
| App | Capture (NLP) | Breakdown | Auto-schedule | Review | Where the AI runs |
|---|---|---|---|---|---|
| Motion | Yes | Yes | Autonomous | Some | Vendor's service |
| Reclaim | – | – | Autonomous (calendar) | – | Vendor's service |
| TickTick | Yes | Some premium AI | – | – | Vendor's service |
| Todoist | Yes (classic NLP) | AI assistant options | – | – | Vendor's service |
| Notion | – | Yes (AI plan) | – | Yes | Vendor's service |
| DonDon | Yes (free, built in) | Yes (your AI) | Suggested time blocks | Weekly review | Your own key or local model |

Cloud AI inside the app vs bring your own key
Built-in AI (Motion, Notion, many others): easiest setup, one bill, but your text passes through the vendor and AI is bundled into a higher price.
Bring your own key (BYOK): you choose the provider and model. In DonDon you can use Claude, OpenAI, Gemini, any OpenAI-compatible endpoint (Ollama, LM Studio, OpenRouter, Groq) or, on desktop, a local agent such as Claude Code. Requests go straight from your device to that provider. AI is off by default and nothing is sent until you turn it on.
The trade-off: you have to create a key, and the quality depends on the model you pick. In return you control cost and privacy. Read more in what is BYOK and why it matters.
What DonDon's AI does
All of it is optional and runs on your configured model:
- Quick add: turn a messy sentence into a structured task. Basic natural-language parsing is free and works without AI.
- Break down: split a large task into steps.
- Refine drafts: adjust the proposed tasks before they are saved.
- Auto-schedule: propose time blocks. Time blocking is a Premium feature.
- Notes to tasks: extract action items from a note.
- Weekly review: a summary built from numbers only; task titles and notes are not sent for this one.
Honest limits
- DonDon does not continuously re-plan your day on its own.
- Quality varies with your chosen model; a small local model is weaker than a frontier one.
- There is no list sharing or team feature today.
How to test an AI task manager in 20 minutes
Demos always look good. Test with your own messy input:
- Capture test. Type three real tasks the way you actually write them: "ring mum sat pm", "finish deck for Tues", "renew passport". See how many dates and times it gets right.
- Breakdown test. Paste a vague project ("launch newsletter") and check whether the steps are concrete, ordered and small enough to start.
- Schedule test. Give it five tasks, two meetings and a working day. Count how many of its proposals are actually feasible.
- Failure test. Turn off your internet or revoke the key. Does the rest of the app keep working?
- Privacy test. Find out where the request goes: the vendor's servers, a third-party model, your own provider, or your machine.
An AI feature that fails test 4 is a dependency, not a feature.
What AI is good at, and what it is not
Reliable enough to use daily:
- Turning a sentence into a structured task.
- Splitting a vague goal into plausible next actions.
- Summarising numbers into a short weekly review.
- Extracting action items from a note.
Still needs your judgment:
- Estimating how long things take. Models are optimistic about writing and admin.
- Knowing your real constraints: energy, commute, family, meetings you cannot move.
- Deciding priority. A model can sort; it cannot know what matters to you.
- Dates in ambiguous phrases ("end of the month", "next Friday").
Treat AI output as a draft that saves you typing, not a decision.
Pricing models you will meet
| Model | How you pay | Trade-off |
|---|---|---|
| Bundled | One higher subscription includes AI | Simple, but you pay for it whether or not you use it |
| Credits | A monthly allowance of AI actions | Predictable until you run out |
| Bring your own key | Provider bills you per use | Flexible and often cheaper; you manage the key |
| Local model | Hardware you already own | Free per request; weaker on small machines |
DonDon uses the last two: AI features run on your key or a local model, and the app subscription ($1.99/month or $11.99/year for Premium) does not include AI usage. See BYOK explained.
A sensible setup for most people
- Use classic natural-language quick-add (no AI needed) for 90% of capture. It is instant and free.
- Turn on AI only for breakdown and weekly review, where it adds the most.
- Use a small, fast model for everyday work and a stronger one only when you want a careful plan.
- Set a monthly spend cap with your provider.
- Keep sensitive tasks out of cloud AI, or use a local model for them.
Where DonDon is not the right choice
Be realistic about the limits so you pick the right tool:
- It does not keep re-planning your calendar in the background.
- It has no team or shared-list features today.
- The best AI results need a good model and a little setup.
- Calendar time blocking, which AI scheduling relies on, is Premium.
If those matter, look at the autonomous schedulers above, or read Motion alternatives for a closer comparison.
How to choose
- Hands-off autonomous scheduling: Motion or Reclaim (alternatives).
- Flexible workspace plus AI: Notion.
- Private, low-cost, AI you control: DonDon. Start on the Free plan.

Frequently asked questions
- What is an AI task manager?
- A task manager that uses a language model to do some of the work: parse a sentence into a task, break a big task into steps, schedule tasks on your calendar, or summarise your week.
- Is there a free AI task manager?
- Some apps include limited free AI. With a bring-your-own-key app such as DonDon the app is free to start and you pay only your AI provider for what you use, or nothing if you run a local model.
- Is it safe to send my tasks to an AI?
- It depends on where the request goes. Apps with their own AI route your text through their servers. Bring-your-own-key apps send it from your device straight to the provider you chose, and local models keep it on your machine.
